Agenda: Discussion on Matters Regarding the Students Union Election-2023

DECISIONS AND KEY POINTS:

Age Limit for Contesting Candidates: The Lyngdoh Commission states that undergraduate students between the ages of 17 and 22 may contest elections, with possible relaxation for professional colleges where courses often range between 4 to 5 years. After considering this, and taking into account the university’s instructions from the online meeting with the Department of Student Services (DSE) of Principals, it was decided to set the upper age limit for candidates at 26 years. This decision was made based on the average age of the student body.

Additionally, if the university specifies any other upper age limit in a future circular, that limit will be considered valid instead of the age limit decided in this meeting.

Minimum Attendance Requirement: Candidates must maintain a minimum attendance of 75%. Along with their nominations, candidates are required to submit an attendance affidavit from their optional subject’s teacher.

Green Protocol: All election-related activities must adhere to a green protocol. Within 48 hours after the election, all decorations and publicity materials used for the campaign, if any, must be removed from the campus by the responsible individuals.

Nomination Filing Deadline: The last date and time for filing nominations are set for September 21, 2023, at 1:00 PM. It was agreed that if any candidate informs the Principal or Returning Officer that they will be late to submit their nomination, the deadline can be relaxed up to 2:00 PM on the same day.

Remaining Schedule: All other dates and times, as mentioned in the university circular, including the schedule for finalizing the nomination roll and the candidate’s list, declaration of result remain unchanged.

Meet the Candidate Program: A “Meet the Candidate” program will be organized on a date determined by the college authority to allow students to interact with and learn more about the candidates.

Student Participation: All students are encouraged to actively participate in the election process and view it as a learning experience in conducting elections democratically in schools and other places.

Dispute Resolution: Any disputes, confusions, or issues that may arise at any phase of the election process should be amicably resolved. Cooperation from all stakeholders is essential for a smooth election.

Positive Politics: Candidates and students are reminded to adhere to positive politics and make the entire election process a memorable and constructive event.

Notification Compliance: All stakeholders are urged to stay informed by regularly checking the circulars and notifications published on the college website and notice board.

These decisions were made collectively to ensure a fair, transparent, and environmentally responsible Students Union Election for the academic year 2023-24.
